Why are there different mail merge template libraries?

There are different mail merge template libraries because the data linked to each type of letter is different.

Transactions & Invoicing Module

Within the Transactions & Invoicing module, there are three libraries:

  • Mail Merge Gift Templates - linked to the data on the Transactions grid and used for sending thank you letters for invoice payments, general transactions, and other manual acknowledgements.
  • Mail Merge Pledge Templates - linked to the data on the Pledges grid and used for sending thank you letters and reminders for pledges.
  • Mail Merge Invoice Templates- linked to the invoices grid and used for cover letters and sending payment reminders for invoices.

Other modules include their own template libraries including:

CRM Module

The Mail Merge CRM Template library is used to create letters using data from the Constituents grid. Letters produced here include things like end of year tax letters, annual appeals, volunteer appreciations letters, and general correspondence templates.

Events Module

The events module also has two template libraries.

  • TheMail Merge Event Templates is linked to the Events grid. It is used for creating event acknowledgement letters, event invoices, and other event transaction correspondence.
  • The Mail Merge Attendance Templates are linked to the Event Attendance grid. It is used for sending letters to event registrants and attendees and will include information available from the Event Attendance grid.

Membership Module

The General Memberships module has the Mail Merge GM Templates linked to the data in the Memberships grid. It is used for creating manual membership acknowledgement letters, renewal reminders, and other general membership correspondence templates.
